Secure election services

The need to elect a Board of Directors or similar group of leaders occurs on a regular but infrequent basis any most organisations. Including Academic institutions, Associations, Clubs, Credit Unions, Student councils and universities.  Because of the occassional nature of elections many groups look outside their own resources for the expertise needed to hold an election.  And that is where we at SEMA come in.  We have extensive experience in conducting elections.  As a result, we are well aware that the key components of a successful election are:

• A completely secure environment which produces an election result that will withstand the closest scrutiny
• Compliance with an organisations existing constitution and election rules
• Convenience for the voter to maximise participation
• Timely declaration of a result 

Certified agreements and enterprise bargaining agreements

Managing the ballot process for a Certified or Enterprise Bargaining Agreement is a complex and time consuming task.  Some key considerations in the process include:

• Employees must have total confidence in the process
• The integrity of the outcome must be able to withstand scrutiny from the organisation, employees and other stakeholders including the Industrial Relations Commission
• Voting must be accessible to all who are eligible

To manage considerations like these, our SecureVote consultants provide indisputable integrity through third party independence that is both politically neutral and commercially non bias. The process is also managed in accordance with the Workplace Relations Act, 1996.

Furthermore, voters have access to postal, paper and electronic channels for submitting their preferences, regardless of location.  We also provide all the necessary returning officers and will compile results and provide comprehensive reporting.   

Council and Shire elections

Proxies and annual general meetings

Planning and managing an Annual General Meeting (AGM) and the communication of information to shareholders that precedes it can tax the resources of any organisation - large or small.

The constitutions of most companies, unions and incorporated associations allow for the use of proxy voting at their meetings which allows absent shareholders or members to have their say.  This in-turn increases the complexity of the meeting management task.

For any organisation planning an AGM or other shareholder/member meeting, our SecureVote representatives will assist with providing all the steps to holding a successful meeting.  This includes:

• Developing a plan for management of the meeting
• Securing appropriate meeting venue
• Preparing the notice of meeting and proxy forms
• Managing database of all eligible voters
• Distribute notice of meeting and forms to all shareholders or members
• Process any retuned mail
• Facilitate the meeting (including conducting voting and polls if required) 

Electronic voting

Our electronic voting service opens up new possibilities and brings a unique experience to the voting process, while also addressing issues which could compromise the participation rate of voters and the speed with which a result can be finalised.

Electronic voting is achieved via the telephone or online so that all a voter needs to participate in an election, proxy vote or survey is access to any telephone or the Internet, anywhere in the world.
